What is a transcript?

A transcript is a summary of your academic grades, the number of hours per week that a subject has been taught at class, the marks you have obtained, the maximum marks along with an explanation of the grading system that your college follows.

A part from my college courses, I have done a Chartered Accountancy/ Company Secretary/ Computer Science course.  Must I make transcripts for these?

Yes.  Please make transcripts for these courses as well.  These transcripts must be confidential, typed on the institute's letterhead, attested in original, placed in an envelope with the stamp across the sealed flap, as shown in the diagrams above . They must also include the number of hours per week and an explanation on the grading system followed.   The best thing to do for programs that do not get certified from a university and are from private institutions is – enclose a photocopy of the syllabus, attested by the institute.

Who gives the transcript?

Usually the transcripts are done in the School/ College office you have attended. You need to go to the registrar’s office to obtain official transcripts.

My college does not know what a transcript means.  Can I see a sample transcript?

11th and 12th grades

Bachelor’s degree

Engineering degree

Do I prepare the transcript on my own?

NO, do not make your own transcript.  The college must prepare one for you.  In case your college does not have a transcript, show them our sample and ask them to make one along the same lines.The transcripts must be typed on the institute’s letterhead. 

Whose signature must I secure on the transcripts?

The registrar’s / principal signature is needed on the transcript and on the sealed envelope. 

What is the difference between a transcript and marksheet?

The mark-sheet is what you obtain after your examinations and reflects your performance for the same.  The transcript is more comprehensive than the mark-sheet as it incorporates additional features such as the number of hours per week that a particular course is conducted, the number of years your course spread over and an explanation of the grading system followed by your college. 

I have failed in one of my semesters.  Do I still need to show my transcript?

Yes.  The transcript states the number of years it takes for a student to complete a degree.  If you do not declare your grades for a particular semester it will be apparent that you have not cleared the course in the appropriate time frame.

How do I calculate the number of hours per week in the transcript?

In your timetable you will have a set number of lectures per week for each subject. For example you may have 3 lectures a week for English.  In the academic year you may have 52 weeks.  The school/college should have a fixed schedule for all courses.

For which years do I need to send my transcripts?

As an undergraduate freshman you need to have transcripts from the 8th grade onwards.
As an undergraduate transfer you need to send transcripts of the 10th, 11th, 12th grades as well as the freshman and / sophomore years.  In addition you must also send a copy of the syllabus for any college level coursework that you have completed.
As a Masters / MBA / Ph.D. student you need to send all your transcripts after the 12th grades.
If you have completed a Chartered Accountancy course, a Company Secretary course, a computer science course you can send these transcripts as well….don’t forget the syllabus of your certificate (non-university) programs

Do I need to send my attested mark-sheets if I send in my transcripts?

Yes, you must send your attested mark-sheets along with your transcripts.

What does an official copy of a transcript mean?

An official copy of the transcript means that:

  • The transcript is typed on the letterhead of your college

  • The transcript is attested in original on every page

  • The transcript is sealed in an envelope which has the stamp of the college across its flap.

The transcript is enclosed in an envelope, which has been sealed by the college/institution authorities.

Can I use any kind of envelope?

Yes, you can use any envelope, if your school/college does not provide you with one, just remember to have them stamped.

The University says that the college must send my transcripts directly, but my college does not send the transcripts.  What do I do?

Most colleges in India do not send the transcript directly, in such cases students are given sealed transcripts which the students mail directly to the university with other application material.  You can send the official transcript along with the application material.

How many copies of my transcripts do I need?

Some colleges may ask for 1 or 2 copies of your transcripts.  Hence make 20 – 25 copies, even if you don’t use them its okay, better than running around last minute for just one more.

Do I send transcripts for my current academic year although I have not yet given the examinations?

Yes.  You need these transcripts as well.   In the section where your marks are asked for simply put an asterisk and an explanatory note stating that your examinations will be held in May/June and that the results will be declared thereafter. 

Will the recipient (University) verify my transcripts with my present college?

Yes, in our experience, colleges almost always have verified the transcripts of students.  Hence send only transcripts that are official and true.

Are the numbers of hours per week calculated in the transcript dependent on my attendance at college?

No.  The college has a fixed system wherein a course is taught for pre-determined number of hours per week and weeks per year.  This is not dependent on your attendance at college.

I have an education through a correspondence course.  From where do I get my transcripts?

Yes.  Correspondence courses also known as Distance Learning Programs, will issue you transcripts when asked for. 

I am applying for Computer Science.  I have done a diploma course in computers from a local institute. Should I get my transcripts from these classes?

Yes, you must obtain a certificate or a letter, which proves the status of your enrollment, and the stage of completion of the program.  Also send a syllabus of the program you are doing. 

If I have completed my degree, should I include an attested copy of my degree certificate?

Yes, you must enclose an attested copy of your degree certificate when sending your transcript, have it notarized or attested.

Some application forms state that they require transcripts from the University from which I have graduated only and not from the affiliated colleges.  What do they mean by this? 

In such cases you must send them an explanatory note stating that your college, which is affiliated to the university, has the rights to issue transcripts/marksheets.

What is GPA?

Grade Point Average or GPA as it is popularly known, is an American term.  The student’s academic progress and potential is assessed on a four-point scale.  If you are asked about your GPA and your college does not have a GPA system do not fret – simply say that your school does not follow the GPA system and describe what your college practices.
